Objective

Record the entry of a new sample to the bank, associating it with the patient, a storage plan and a physical position (tank, basket, ladder, cryotop or vial).

Before starting

• Have the patient registered.
• Have configured tanks, baskets, ladders and available positions.
• Have created the storage plan that will be associated with the sample.
• Have GAMETE_BANK_STORAGE: WRITE.

Step by step

1. Enter the Gamete bank module and open the Storage sub-route (default view).
2. Locate the destination tank and expand it to see baskets and ladders.
3. Select the ladder and the position where the sample will be stored.
4. Click Register sample (position icon or context button).
5. The registration dialog opens. Enter:
   • Patient (search by name or medical record).
   • Partner (if applicable, linked to the patient).
   • Sample type (Oocyte, Sperm, Embryo).
   • Quantity.
   • Quality (bank qualities catalog).
   • Storage plan (selector).
   • Entry date.
   • Tank, basket, ladder and position (pre-filled with the selection).
   • Observations.
6. Confirm with Save.

Expected result

• The sample is registered in the system and occupies the selected position.
• A plan charge is automatically generated according to the configured frequency.
• The position appears as occupied in the storage view.
• The system shows a success message.

Common errors

Situation	What to do
The position appears occupied	Select another free position.
There are no available tanks	Create a tank from the configuration.
The plan does not appear	Verify that the plan is active and available for the sample type.
The quantity exceeds the parameter limit	Adjust the parameter or reduce the quantity.

• GAMETE_BANK_STORAGE: WRITE.

Operational recommendations

• Verify the quality and quantity before saving.
• Document the real physical location (cryotop label) in the observations so it is locatable in the bank.

Relation with other modules

• Patients: the sample is associated with the patient.
• Plans: a plan is assigned that will generate periodic charges.
• Cash box (CryoBank): the first charge is automatically generated and appears in Cash box.
• Medical studies: the related freezing study remains linked.
